What electricians should include on an invoice

What electricians should include on an invoice

An electrician invoice is the bill an electrician sends a customer for labor, materials and fees after a service call or job. Showing materials apart from labor, and permit and inspection fees at cost, helps homeowners, businesses and general contractors approve it quickly.

  1. Your business. Your business name and contact details, your electrical license number where your state requires it, and your EIN if a business client asks for your taxpayer ID.
  2. Client and job site. The customer’s or general contractor’s name, the job site address, and the project name or PO number if there is one.
  3. Number and dates. A unique invoice number, the issue date, the due date and the dates you did the work.
  4. Labor and materials. Labor hours at your rate or a flat job price, and materials like breakers, wire and boxes on their own lines.
  5. Permits and inspection. Permit and inspection fees billed at cost, with the receipt if the customer asks for it.
  6. Payment terms. When the invoice is due, such as 15 days from the issue date, and how to pay you: check, bank transfer or a card payment link.
  7. Late fee. Your late fee on overdue balances, if your contract includes one and your state allows it.

Getting paid

Billing tips for electricians

Billing tips for electricians

Agree on terms before the job starts, then repeat them on every invoice.

  • Net 15

    Payment terms

This template asks for payment within 15 days, which suits business and general contractor clients; some ask for Net 30. Homeowners on service calls often pay on completion. Invoice the day the work is done, and write the exact due date, not just “Net 15”.

  • At cost

    Permits and inspections

In many areas, panel upgrades, new circuits and EV charger installs need an electrical permit and an inspection. Bill the fees at cost as their own line, as this template does, and keep the receipts. Rules vary by city and county, so check them before you quote.

  • Deposits

On bigger jobs like a panel upgrade, you can ask for a deposit to cover the panel and materials before you order them, then deduct it on the final invoice. Some states limit deposits on home improvement work, so check your state’s rules.

  • Late payments

Send a reminder the day after the due date, and another a week later. Add a late fee only if your contract includes one and your state allows it; the late fee calculator works out the amount.

  • Taxes

Business and GC clients often ask for a Form W-9 before the first payment, and for payments made from 2026 on they generally file Form 1099-NEC if they pay you $2,000 or more in a year; card payments are reported on Form 1099-K instead. You owe tax on all your income either way, so set aside part of each payment; the self-employment tax calculator estimates it. This is general information, not tax advice.
