How to fill out this freelancer invoice template

  1. Download the freelance invoice template in Word, Excel or as a fillable PDF, open it in Google Docs or Sheets, or fill it in online below.
  2. Add your name or business name and contact details, then your client’s company and billing contact. Give the invoice a unique number.
  3. List the work the way you quoted it: a flat project fee, hours at your hourly rate, a retainer period or a milestone. Put extra revisions and expenses on their own lines.
  4. Set the due date and payment terms, such as Net 15, and say how you get paid: bank transfer, Zelle or PayPal.

What freelancers should include on an invoice

A freelance invoice is the bill a self-employed person sends a client to get paid for their work. It shows who did the work and for whom, what was done, what it costs, and when and how to pay. Along with the basics every business invoice needs, a few details save back-and-forth with clients.

  1. Your details. Your name or business name, address and email. Share your EIN only if the client needs it for their records; it’s safer than your Social Security number.
  2. Your client. The client’s company name and billing contact.
  3. Number and dates. A unique invoice number, the issue date and the due date.
  4. Line items. Each service on its own line: what you did, hours or quantity, rate and amount.
  5. Expenses. Costs you pass on at cost, such as stock assets, software or travel, with receipts if your contract asks for them.
  6. Payment terms. When the invoice is due and how to pay you: bank transfer, Zelle, PayPal or a card payment link.
  7. Late fee. Your late fee policy, if your contract has one.

Agree on terms before the work starts, then repeat them on every invoice.

  • Net 15 / 30

    Payment terms

    Net 15 or Net 30 is standard for business clients in the US. For small clients and one-off jobs, due on receipt or Net 7 keeps cash moving. Write the exact due date on the invoice, not just “Net 30”.

  • 25–50%

    Deposits

    Ask new clients for 25–50% upfront, especially on projects over a few thousand dollars. Send the deposit invoice when the contract is signed and deduct it on the final invoice.

  • When to send the invoice

    Send it the day the work is delivered. On long projects, invoice at each milestone; on a retainer, at the start of each period. The same day each month makes your income easier to predict.

  • Late payments

    Send a friendly reminder a few days before the due date and again the day after. If your contract allows it, add a late fee as a separate line; the late fee calculator works out the amount.

  • Taxes

    Set aside part of every payment for income and self-employment tax. The freelance tax calculator estimates how much to keep and what to pay each quarter. This is general information, not tax advice.
