- Download the graphic designer invoice template in Word, Excel or as a fillable PDF, or fill it in online below.
- Add your name or studio name and contact details, then your client’s company and billing contact. Name the project, such as a brand identity or packaging design, and give the invoice a unique number.
- List each deliverable the way you quoted it: the logo with its concepts and revision rounds, brand guidelines, a set of social media templates. Put revisions beyond the agreed rounds on their own line at your hourly rate.
- Add stock photos, font licenses or printing you paid for as separate lines, then set the due date and say how you get paid. Keep the note that final files are delivered once the invoice is paid in full.
- Send it as a PDF, or as a payment link with Onigiri so your client can pay by card.

Invoice checklist
A graphic design invoice is the bill a designer sends a client for design work, such as a logo, a brand identity or print and packaging files. It lists each deliverable, the revision rounds included, the price, and when and how to pay. Spelling out scope and file handover on the invoice saves back-and-forth over extra revisions and final files.
- Your details. Your name or studio name, address and email, plus your EIN if the client needs it for their records; it’s safer than your Social Security number.
- Your client. The client’s company name and billing contact, and the brand or project the work is for.
- Number and dates. A unique invoice number, the issue date and the due date, plus a PO number if the client’s accounts team uses one.
- Deliverables. Each deliverable on its own line, such as logo concepts, brand guidelines or a template set, with the included revision rounds in the details.
- Outside costs. Stock photos, font licenses, printing or proofs you bought for the project, passed on at cost or with the markup your contract allows.
- Payment and files. When the invoice is due, how to pay you, and that final files are released once it’s paid in full.
- Late fee. Your late fee policy, if your contract has one.
Getting paid
Agree on scope, revision rounds and payment terms before you start designing, then repeat them on every invoice.
- Net 15 / 30
Payment terms
Net 15 or Net 30 is standard for business clients in the US. Small businesses and one-off logo jobs often pay on receipt or Net 7. Write the exact due date on the invoice, not just “Net 30”.
- 50% upfront
Deposits
Many designers ask for 50% before starting a logo or brand identity project and the rest before releasing final files. Send the deposit invoice when the contract is signed and deduct it on the final invoice.
When to send the invoice
Send the final invoice when the client approves the design, before you hand over the final files. On larger brand or packaging projects, invoice at each milestone, such as concepts, refinement and final artwork.
Late payments
Hold the final files until the invoice is paid, and send a friendly reminder a few days before the due date and again the day after. If your contract allows it, add a late fee as a separate line; the late fee calculator works out the amount.
Taxes
Design services are mostly not subject to sales tax, but some states tax certain services, printed items or digital products, so check your state’s rules.
