What plumbers should include on an invoice

What plumbers should include on an invoice

A plumbing invoice is the bill a plumber gives a customer after a service call or job, listing the call fee, labor, parts and any extra charges. Separate lines for parts and labor, plus clear warranty terms, help customers understand the price and pay before you leave.

  1. Your business. Your business name, phone and email, and your plumbing license number where your state requires it.
  2. Customer and job site. The customer’s name and contact details, and the address where you did the work.
  3. Number and dates. A unique invoice number, the issue date, the due date and the date of the service call.
  4. Call, labor and parts. The service call or diagnostic fee, labor hours or a flat job price, and each major part, like a water heater or valve, on its own line.
  5. Extra charges. After-hours or emergency fees, permit fees and haul-away of an old water heater or fixture, each listed separately.
  6. Terms and warranty. When payment is due, how to pay you, and what the warranty covers: the manufacturer’s on parts and yours on labor.
  7. Late fee. A late fee for invoices not paid on time, if your written terms include one and your state allows it.

Getting paid

Billing tips for plumbers

Billing tips for plumbers

Tell customers your call fee and how you price the job before you start, then put the same terms on the invoice.

  • On completion

    Payment terms

Homeowners usually pay the plumber when the job is done, so send the invoice before you leave. Property managers, landlords and businesses may ask for terms such as Net 15 or Net 30. Write the exact due date on the invoice.

  • 1.5–2×

    After-hours calls

Many plumbers charge more for nights, weekends and holidays, either as a flat after-hours fee like the one in this template or as a higher hourly rate, such as 1.5 or 2 times the normal rate. Tell the customer before you head out, and bill it as its own line.

  • Deposits on big jobs

Service calls don’t usually need a deposit. For a repipe or a special-order fixture, you can ask for part of the price upfront to cover parts and deduct it on the final invoice. Some states limit deposits on home improvement work, so check your state’s rules.

  • Late payments

If a customer can’t pay on the day, write a due date on the invoice and send a reminder the day after it passes. Add a late fee only if your written terms include one and your state allows it; the late fee calculator works out the amount.

  • Taxes

Sales tax on plumbing depends on the state and on whether you’re billing labor or parts; in some states you pay the tax when you buy parts instead of charging it on the invoice. Check your state’s rules, and use the sales tax calculator if you need to add it. This is general information, not tax advice.
