How to fill out this invoice template for handyman jobs
- Download the invoice template in Word, Excel or as a fillable PDF, or fill it in online below.
- Add your name or business name, phone and email, then the customer’s name and the job site address. If your state or city requires a license for the work, add your license number.
- Put every small task from the visit on one invoice. Describe them in the labor line, like drywall patch, door adjustment and faucet swap, and bill the hours at your rate. If you charge a minimum, such as one or two hours, bill at least that.
- Add materials at cost or with the markup you told the customer about, then the trip charge and any disposal fee on their own lines so the customer sees what each one covers.
- Send it as a PDF before you leave, or as a payment link with Onigiri so your customer can pay by card.

Invoice checklist
A handyman invoice is the bill a handyman gives a customer for repairs and small jobs, listing the labor, materials and any trip or disposal fees. When each charge has its own line, customers see what they’re paying for and are more likely to pay before you leave.
- Your business. Your name or business name, phone and email, and your license number if your state or city requires one for the work you do.
- Customer and job site. The customer’s name, contact details and the job site address, which can differ from the billing address when you work for landlords or property managers.
- Number and dates. A unique invoice number, the issue date, the due date and the date of the visit.
- Tasks and labor. Each task you did, such as a drywall patch or a faucet swap, with the hours at your hourly rate, or a flat price per task if that’s what you quoted.
- Materials and fees. Hardware and supplies at cost or with your markup, plus the trip charge and disposal fee, each on its own line.
- Payment terms. When payment is due, such as on completion, and how to pay you: card, Zelle or check.
- Late fee. A late fee for invoices not paid on time, if your written terms include one and your state allows it.
Getting paid
Tell customers how you charge when they book, then show the same terms on the invoice.
- On completion
Payment terms
Most homeowners pay a handyman when the job is done, by card, Zelle or check. Fill in the invoice before you leave so the customer can pay on the spot. Landlords and property managers may ask for terms such as Net 15 instead; write the exact due date on the invoice.
- 1–2 hr min.
Minimums and trip charges
Many handymen charge a minimum, such as one or two hours, so short visits still cover the drive. Others add a trip charge instead, like the one in this template. Say which you use when the customer books, so the invoice holds no surprises.
Materials and deposits
Small jobs rarely need a deposit. For bigger jobs where you buy materials first, you can ask for that cost upfront and deduct it on the final invoice; some states limit deposits on home improvement work, so check your state’s rules. If you mark up materials, the markup calculator works out the price.
Late payments
If a customer can’t pay on completion, write a due date on the invoice and send a reminder the day after it passes. Add a late fee only if your written terms include one and your state allows it.
Taxes
Sales tax on handyman work depends on the state and on whether you’re billing labor or materials, so check your state’s rules. No one withholds tax from your pay, so set aside part of every payment for income and self-employment tax; the self-employment tax calculator estimates it. This is general information, not tax advice.
