How to fill out this lawn care invoice template

  1. Download the invoice template in Word, Excel or as a fillable PDF, or fill it in online below.
  2. Add your business name and contact details, then the client’s name and the service address. For a commercial property or HOA, add the property name or contract number.
  3. For mowing, enter the number of visits this month at your per-visit rate, such as 4 visits at $45. Put a seasonal cleanup or a one-off job on its own line with a short note on what it covered.

What landscapers and lawn care pros should include on an invoice

What landscapers and lawn care pros should include on an invoice

A landscaping invoice is the bill a landscaper or lawn care company sends a client for mowing, cleanups, planting and other yard work over a visit, a month or a season. It shows which property was serviced, how many visits or units, and the rate for each. Clear visit counts and material quantities head off most billing questions.

  1. Your business. Your business name, address, phone and email, and your license or pesticide applicator number if your state requires one for the work you do.
  2. Client and property. The client’s name and billing address, and the service address if it’s different, such as a rental or commercial property.
  3. Number and dates. A unique invoice number, the issue date, the due date and the service period, such as the month of mowing visits.
  4. Visits and jobs. Mowing as the number of visits at your per-visit rate, and cleanups, planting or hardscaping as separate jobs with a short description.
  5. Materials and hauling. Mulch, soil, stone and plants by the cubic yard, bag or piece, plus hauling or dump fees for yard waste.
  6. Payment terms. When the invoice is due, such as within 15 days, and how to pay you: check, bank transfer, Zelle or a card payment link.
  7. Late fee. Your late fee and whether service pauses on overdue accounts, if your service agreement includes them and your state allows the fee.

Getting paid

Billing tips for landscapers and lawn care pros

Billing tips for landscapers and lawn care pros

Agree on what each visit includes and how you bill before the season starts, then repeat it on every invoice.

  • Net 15

    Payment terms

The template bills monthly service at the end of the month and asks for payment within 15 days. Homeowners on one-off jobs usually pay on completion. Write the exact due date on the invoice, not just “Net 15”.

  • End of month

    When to send the invoice

Bill weekly mowing once a month and count the visits, so rained-out weeks come off on their own; invoice cleanups and installs the day they’re done. For clients on a flat monthly or seasonal rate, Onigiri PRO can email a recurring invoice to them each month on schedule. To price a new lawn, try the lawn mowing price calculator.

  • Deposits

For larger jobs like planting, sod or hardscaping, ask for a deposit before you buy materials. Some states limit deposits on home improvement jobs, so check your state’s rules. Deduct the deposit on the final invoice.

  • Late payments

Send a reminder the day after the due date, and say in your service agreement that visits pause while an invoice is past due. Add a late fee only if your agreement includes one and your state allows it.

  • Taxes

Sales tax on landscaping varies by state, and services, materials such as mulch and plants, and installation can each be treated differently. Check your state’s rules, and use the sales tax calculator when tax applies. This is general information, not tax advice.

Formats

  • Fillable PDF landscaping invoice template

Type straight into the fields in Chrome or Adobe Acrobat and the totals add up. The layout stays fixed, so nothing shifts by accident.
