How to fill out this house cleaning invoice template

- Add your business name and contact details, then your client’s name and the service address if it’s different from the billing address. Give the invoice a unique number.
- List each clean on its own line with the home size, such as a standard clean for a 3 bed / 2 bath. Put add-ons like inside the oven and fridge on separate lines.
- For recurring clients, enter the number of visits as the quantity, such as two biweekly visits, and add supplies on their own line if you charge for them. Set the due date: the day of service for most homes, Net 15 or Net 30 for offices.

Invoice checklist
A cleaning invoice is the bill a cleaner or cleaning company sends a client for cleaning work, listing each visit, add-on and supply charge and the amount due. Clear details help homeowners and property managers see what they’re paying for, so they pay on time and fewer questions come back.
- Your business. Your name or business name, phone and email, plus your EIN if a commercial client needs it for their records.
- Client and address. The client’s name and billing contact, plus the service address if it’s different, such as a rental unit or office.
- Number and dates. A unique invoice number, the issue date, the date of each clean and the due date.
- Cleaning services. Each clean on its own line with the home size or area, with add-ons like inside the oven and fridge listed separately.
- Supplies. Products or equipment you bring and charge for, such as eco-friendly supplies, unless they’re already in your rate.
- Payment terms. When payment is due, often the day of service for homes, and how to pay: cash, check, Zelle or a card payment link.
- Late fees. Your late fee and any last-minute cancellation or lockout fee, if your service agreement includes them.
Getting paid
Set your terms in your quote or service agreement, then repeat them on every invoice.

Payment terms
Most house cleaners ask for payment on the day of service. Office and commercial clients usually expect Net 15 or Net 30. Whatever you agree, write the exact due date on the invoice.
- 25–50%
Deposits
Recurring clients usually don’t need a deposit. For big one-time jobs like move-out or post-construction cleans, you can ask for 25–50% upfront when the job is booked and deduct it on the final invoice.
When to send the invoice
Send it right after each clean, or before you leave if the client pays on the spot. For recurring clients, bill every visit or once a month for all visits, with the number of visits as the quantity.
Late payments
Send a friendly reminder the day after a missed payment, before the next visit. If your agreement allows it, add a late fee as a separate line; the late fee calculator works out the amount.
Taxes
Some states charge sales tax on cleaning or janitorial services, sometimes only for commercial buildings, so check your state’s rules.
